How it works

Four steps, one agreed result

  1. 1

We map how the process really runs and measure where the time goes.

    With your team

    Tested by your team
  4. 4

    Embed and improve

We train the team, listen to their feedback and keep improving it in small steps, measuring as we go.

    Improved with your team

Change that lasts

The tool is half the job. The other half is your team.

Automation only pays off if people trust it and use it. So we bring your team with us from the first conversation.

Your team shapes it

The people doing the work help design it, so it fits how they actually work.

People make the calls

The automation prepares the work. Your people decide and approve.

It sticks

We train the team and stay on hand after launch, with ongoing support whenever there are issues and retainer options to keep improving it.

What it costs you, and what you pay us

My team of people each spend hours a week on it, at about an hour.

Costing you today £20,700 110 working days of your team's time a year
Halve it and you get back 55 days and £10,350 a year
Based on 46 working weeks and 7.5 hour days. A rough guide, not a quote.

You pay for those hours, not ours

Most firms charge for their time. We price on the time we save you, so our fee grows only when your team gets hours back.

  1. 1 · To startA smaller fixed feeWe measure where you are today and build the first working version.
  2. 2 · For 12 monthsA monthly fee based on the hours aboveSave more, you gain more. Save less, you pay less. How we measure is agreed before we start.

Where we help

Any repetitive online process, with your people making the calls

If your team does it on a screen, follows the same steps each time, and it eats hours every week, we can automate it. A few examples:

QuotingPrepared automatically. Priced by your team.
InvoicingDrafted from completed jobs. Approved by finance.
Supplier checksPaperwork checked and problems flagged. Resolved by your people.
Customer bookingsOrders arrive ready to action. Confirmed by your team.
Month end reportingFigures gathered and reconciled. Signed off by finance.

Something else? If it's done online, we can probably help.

Who you'll work with

Tom Bullock, founder

I've spent over 11 years as a product manager, working across investment banking and some of the UK's leading companies, including Sky, Virgin and Specsavers. I've set up and led pricing teams and AI and machine learning teams, and delivered multi-million pound projects, including one that grew profit by 514% in a single year. Now I have a passion for building, and for helping small businesses streamline their processes.

You work with me directly, from the first conversation to the finished build.

Why Loominate? The name joins loom, automate and illuminate. The Jacquard loom of 1804 was one of the first machines to follow a programmed pattern, while the weaver chose the design. We work the same way: automation handles the pattern, your people make the calls. And by shedding light on how your work really runs, we help you see where the time goes and what's worth changing.

Questions

What people ask first

Do we have to change our systems?

No. We build around the tools you already use. Where a system has a proper connection we use it. Where it doesn't, we use the same screens your team does and test it carefully.

Is our data safe?

Wherever possible the automation runs inside your existing systems and accounts. Where an AI service reads emails or documents, we agree with you up front which service is used and what it can see. We work to GDPR and your local data protection rules, and only access what the process needs.

Who owns what you build?

You do. The intellectual property in everything we build for you is yours.

What happens if you're unavailable?

Everything is documented and handed over, and it runs in your own accounts, so it keeps working without us. Support is ongoing: we're on hand whenever there are issues, and retainer options are available.

How long does it take?

A first working version usually lands within a few weeks, then improvements arrive in small, regular batches.

What does it cost?

A smaller fixed fee to start, then a monthly fee tied to the hours actually saved, for the first 12 months. We agree how hours are measured before we start.

Will this replace our staff?

It's a fair worry, and it isn't the aim. We take away the copy and paste: the repetitive parts of a role that cost you time and that people rarely enjoy doing. That leaves your team free to make the decisions and chase the results that matter to the business. We work alongside you and your key people to drive performance, not to replace anyone.

What if the automation gets something wrong?

A person checks every item before it goes anywhere, so mistakes are caught before they reach a customer or a supplier. And your team can always fall back to doing it by hand.

How do you get the team on board?

They're involved from the first conversation, and they help design and test it before it goes live.

Do you use AI in the solution?

It depends on the solution, and not by default. We try not to rely on it. Most of what we build follows clear steps your team agrees. We only use AI when it's genuinely needed, for example to read messy emails or documents, and only if it suits your team and the goal. Either way, a person always sees the result and makes the decision.
